Maintain Member Information

Update member and contact information, send Member Edit Links for self-service, and review the deletion preview before removing a member.

Know what identifies a member

Groups choose their Member Type during group creation. It determines what identifies a member and what information managers and members maintain for that membership.

Individual
The person is the member. Maintain the person's name and contact information.
Household
The address identifies the member. Maintain the household address and its occupants' contact information.
Organization
The organization name identifies the member. Maintain the organization information and its delegates' contact information.

A group's Member Type cannot be changed after group creation.

Edit member and contact information

Open Members, select the member, and edit the available member or contact fields. For households and organizations, keep every contact email current. Renewal reminders are addressed to all contact emails stored on the membership, while payment receipts and receipt resends go to the billing contact.

Use Send Member Edit Link to enable the billing contact to review or change their own details. Sending a link invalidates prior links for that membership.

Change occupants or delegates without removing the member

Individual-type members do not have occupants or delegates. Edit their contact information directly; use Delete Member only when the person should no longer be a member.

When a household address remains part of the group's membership area but its occupants move, remove the outgoing occupants and add the incoming occupants rather than deleting the household. When an organization remains a member, remove outgoing delegates and add incoming delegates.

Removing outgoing occupants or delegates instead of deleting the member preserves the household or organization's membership and financial history.

Delete members (cautiously)

Open the member and select Delete Member. Simpli Dues previews what will happen before confirmation.

  • Without financial history, the member is fully deleted.
  • With financial history, the member is removed from active lists and its contacts are deleted while a deleted-member label is preserved for financial reporting. If an identical member is later recreated, it will have an independent financial history from the deleted member.
  • Reminders, Member Edit Links, and contact info are removed in either case.
Deleting a member is not a reversible operation. Review the preview and prefer to remove only the occupants or delegates when the underlying household or organization should remain.
