Reminders and Receipts

Understand when Simpli Dues schedules renewal reminders, when it sends payment receipts, and when managers must send receipts or Member Edit Links themselves.

Renewal reminders

Simpli Dues schedules a renewal reminder when Dues are paid online or recorded by a manager. Initiative contributions do not schedule membership reminders.

  • For membership periods longer than about three months, reminders are normally scheduled 10 days before coverage ends.
  • For shorter periods, reminders are normally scheduled three days before coverage ends.
  • A later Dues payment suppresses an obsolete reminder when the member is already covered.
  • Calendar/fiscal-year groups suppress the reminder when the next term is already satisfied.

Delivery is best effort. A missing or incorrect contact email prevents delivery, and Simpli Dues does not currently provide a manager control for sending a reminder manually, but managers are welcome to send reminders externally.

Online payment receipts and Member Edit Links

A successful online Dues payment sends a receipt when the membership has a usable billing contact email. The receipt includes a private, time-limited Member Edit Link. An Initiative-only or non-member payment does not create a Member Edit Link.

Payment recording and receipt delivery are separate. If a member reports a missing receipt, first verify the payment in Simpli Dues or Stripe rather than assuming the charge failed.

Send receipts after Record Payment

Cash and check payments entered through Record Payment do not automatically send a receipt or Member Edit Link. Open the saved member or non-member record to send the receipt, and use Send Member Edit Link separately when the member should update their information.

Troubleshoot a missing reminder or receipt

  1. For a missing receipt, confirm that the payment appears in the member's payment history or in Contributions.
  2. For a missing reminder, review the member's standing and coverage or Term. A later Dues payment suppresses an obsolete reminder.
  3. Check the billing contact email for a receipt and every stored contact email for a reminder.
  4. Ask the recipient to check spam and filtered mail.
  5. For a recent payment, use the member or non-member detail page to resend the receipt when available.
  6. Use Send Member Edit Link separately when you would like the billing contact to review and update their membership information.

Receipt content and tax language

Managers cannot edit the general receipt prose. Public Identifiers, Payment Tier descriptions, contribution amounts, and the group's Tax-Deductible setting affect what appears. Simpli Dues product guidance does not determine whether a receipt satisfies a group's legal or tax acknowledgment obligations.
